1. Who we are
Northquill ("Northquill", "we", "us") operates the website at northquill.ai and the Northquill service, which converts presentation files into narrated video (the "Service"). The data controller is Kotlerman Ventures LLC, 21266 Lafyette Rd, Sedro Woolley, WA 98284. For privacy questions, contact us at hello@northquill.ai.
2. Information we collect
We collect the following categories of information:
- Account information — name, email address, and password (stored hashed) when you create an account, and organization details if you join a team.
- Content you upload — the presentation files, speaker notes, scripts, voice recordings, and other materials you submit to generate a video ("User Content").
- Usage data — log data such as IP address, browser type, pages viewed, and actions taken, collected to operate and secure the Service.
- Payment information — processed by our payment providers, Stripe (card and bank payments) and Coinbase Commerce (cryptocurrency payments); we do not store full card numbers or wallet keys.
- Cookies and similar technologies — see our Cookie Policy.
3. How we use your information
We use the information above to:
- provide, maintain, and improve the Service, including generating your videos;
- create and manage your account and process payments;
- respond to support requests and communicate about the Service;
- monitor, secure, and prevent abuse of the Service; and
- comply with legal obligations.
4. How we handle your uploads
We process User Content solely to provide the Service to you — for example, to read your slides, generate narration audio from the text you provide, and render your video. We do not use your User Content to train AI or machine-learning models, and we do not sell it. User Content may be processed by the subprocessors listed below strictly to perform these functions on our behalf.
5. Legal bases for processing (EEA/UK)
If you are in the European Economic Area or the United Kingdom, we rely on these legal bases: performance of a contract (to provide the Service), legitimate interests (to secure and improve the Service), consent (for optional cookies and marketing, where required), and compliance with legal obligations.
6. Sharing and subprocessors
We do not sell your personal information. We share it only with service providers who process it on our behalf under contract, and when required by law or to protect rights and safety. Our subprocessors include:

7. Data retention
We keep account information for as long as your account is active. The Service is designed for you to download your finished videos and move on — it is not intended as long-term storage for your source material. You can delete projects and User Content at any time, and we remove them from active systems within 7 days (30 days for Team and Enterprise plans), subject to backups that expire on a rolling 14-day basis (90 days for Team and Enterprise). We retain limited records where required for legal, tax, or security purposes.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. California residents have rights under the CCPA/CPRA, including the right to know, delete, correct, and opt out of "sharing"; we do not sell personal information. To exercise any right, email hello@northquill.ai. You may also lodge a complaint with your local data protection authority.
9. Security
We use encryption in transit, access controls, and other technical and organizational measures designed to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data and to notify you of incidents as required by law.
10. International transfers
We may process information in countries other than yours, including the United States. Where required, we use appropriate safeguards such as Standard Contractual Clauses for transfers out of the EEA/UK.
11. Children
The Service is not directed to children. A minor may use the Service only with the involvement and consent of a parent or legal guardian, who must agree to these Terms and this Privacy Policy on the minor's behalf. If you believe a child has provided us information without appropriate parental or guardian consent, contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. We will post the new effective date here and, for material changes, provide additional notice.
